Position Description: 

Administrative Support:

Answer and direct phone calls, handle inquiries, and provide information to clients, customers, and staff.
Greet and assist visitors, ensuring a professional and welcoming environment.

Manage and maintain office correspondence, including emails, letters, and packages.

Scheduling and Coordination:
Coordinate and schedule meetings, appointments, and travel arrangements for staff and management.
Organize and maintain electronic and physical filing systems for easy access and retrieval of documents.

Office Management:
Monitor and order office supplies, ensuring inventory is kept at appropriate levels.
Oversee the maintenance and cleanliness of the office environment.
Assist with setting up meeting rooms, including arranging equipment and refreshments as needed.

Data Entry and Documentation:
Perform data entry tasks, including updating records and databases.
Prepare and format reports, presentations, and other documents as requested.

Financial Administration:
Assist with basic accounting tasks, such as processing invoices, managing petty cash, and tracking expenses.

Support for Staff and Management:
Provide general administrative support to staff and management, including handling requests and providing information as needed.
Assist in organizing company events, training sessions, and other internal activities.

Customer Service:
Address and resolve minor issues or complaints from clients or staff in a timely and professional manner.


Desired Qualifications: 

Education: Diploma or equivalent. Additional coursework or training in office administration or a related field is a plus.

Skills: Proficiency in office software, including Microsoft Office Suite (Word, Excel, PowerPoint) and email applications.

Communication: Strong written and verbal communication skills to effectively interact with clients, staff, and management.
Organization: Excellent organizational skills with the ability to manage multiple tasks and prioritize effectively.

Attention to Detail: High level of accuracy in data entry, documentation, and administrative tasks.


Time Commitment:  30 hours/week
